Apple Reminders has evolved significantly over the past few years, becoming an indispensable tool for organizing tasks and managing your to-do lists.

The development has been substantial, and it’s worth taking a look at some of the latest features that make Reminders one of the most powerful productivity apps available today:

  • You can collaborate with others by sharing lists and assigning tasks.
  • You can add rich media like photos, web links, and documents to your reminders.
  • You can use Siri to create reminders with just your voice.
  • You can organize your tasks with tags for easy categorization.
  • You can get reminded when messaging a specific person.

Right alongside these features is the ability to create Smart Lists in Apple Reminders.

Smart Lists take your organizational capabilities to the next level by allowing you to set custom filters and automatically gather relevant reminders.

This powerful feature ensures you can access the right reminders at the right time, keeping your workflow streamlined and efficient.

What Is a Smart List?

Smart Lists are an advanced feature within the Reminders app that allows you to automatically gather reminders from other lists based on specific filters you set.

The beauty of Smart Lists is that you don’t have to manually add items; reminders fitting the criteria will appear in both the Smart List and their original list.

Think of it as creating a custom search that updates itself. It’s magic.

Creating and Personalizing a Smart List in Reminders

Before you start, ensure your Reminders app is synced with iCloud.

On your iPhone, open Settings and tap your name at the top. Select iCloud, scroll down to Reminders, and toggle it on.

Then, follow these steps to create and customize your Smart List:

1. Launch the Reminders app on your iPhone.

2. Tap “Add List” to start creating a new list.

3. Give your new list a descriptive name, and choose an icon and background color. Then, tap “List Type” and select “Smart List” to enable the advanced features.

4. Tap “Edit Filters” at the bottom to organize your list using tags and other filters.

5. Next, go through and select the filters for reminders that will appear in the Smart List.

  • Tags
  • Date
  • Time
  • Location
  • Flag
  • Priority
  • Lists

5. When you’re happy with your filters, tap “Done” in the upper right to finish creating your Smart List.

Once your smart list has been created, it will appear at the bottom of your existing lists.

It will have a cogwheel next to it and a square background to make it easy to differentiate from the regular lists.

Note: Once you convert a regular list into a Smart List, you can’t convert it back into a regular list. You can delete it, which won’t affect its reminders; they’ll remain in their lists.

One of my favorite Smart Lists, which can benefit most people, is the “Week Ahead” list.

To create a Smart List, follow the steps mentioned above. For the filters, select “Tags” to choose a tag, and then select “Date” and choose “Relative Range.” Set the range to “In the Next Week.”

Now, any tasks due within the next week will automatically appear in this Smart List.

Editing Your Smart List

Adjusting your filters is straightforward. Here’s how to manage your Smart List:

1. Tap “Edit” and then the info icon next to your Smart List.

2. Tap “Manage Smart List” to adjust your filters as needed.

3. Once you’re satisfied, tap “Done” until you return to the My Lists screen.
